The terms on which we provide our surveying, energy assessment and retrofit services.

1. About us

2. Our services
We provide domestic and non-domestic Energy Performance Certificates (EPCs), retrofit assessments carried out under PAS 2035, damp and mould surveys, thermal imaging, property condition inspections and, where agreed, project management of improvement works. The service you have booked, and its price, will be confirmed to you in writing before your appointment.
3. Quotes and bookings
- Quotes are valid for 30 days and are based on the information you give us about the property. If the property turns out to be materially different (for example, more bedrooms or a larger floor area), we will tell you before carrying out any additional work at extra cost.
- Prices are shown [including / excluding] VAT.
- A contract is formed when we confirm your booking.
4. Access and your responsibilities
- Please arrange safe access to all relevant areas, including the loft hatch, boiler, heating controls, hot water cylinder, meters and, for damp and mould surveys, the affected rooms and the outside of the building.
- If the property is occupied by someone else (for example, a tenant), you are responsible for letting them know about the appointment.
- Please provide any documents that may affect the result, such as insulation certificates, boiler or window installation records, or details of previous works. Evidence we are not shown cannot be taken into account.
- Please make sure any pets are secured during the visit.
5. Cancellations and missed appointments
- You can cancel or rearrange free of charge with at least 24 hours' notice.
- If we cannot gain access at the agreed time, or you cancel with less than 24 hours' notice, we may charge an abortive visit fee of [£ amount].
- If you are a consumer and booked away from our premises or at a distance (for example, by phone, WhatsApp or online), you have the right to cancel within 14 days of booking. If you ask us to carry out the work within that 14-day period and then cancel, you will pay for any work already done.
6. Payment
Payment is due [on completion of the visit / within 14 days of invoice]. Accepted methods: [bank transfer, card]. EPCs are lodged on the government register, and reports are released, once payment has been received in full.
7. Scope and limitations of our inspections
- Our inspections are visual and non-invasive. We do not lift floor coverings, move heavy furniture or stored items, open up walls or ceilings, or inspect areas that are concealed, unsafe or inaccessible.
- Moisture readings and thermal images are indicative and reflect conditions on the day of the inspection. Damp and mould conditions can vary with weather, season, heating and occupancy.
- Damp and mould reports give a professional, evidence-based opinion on the likely causes and recommended actions. They are not a structural survey, a RICS Home Survey or a building valuation.
- We do not test electrical, gas or drainage installations, and we do not survey for asbestos or other hazardous materials.
- Where further investigation is recommended (for example, by a roofer, plumber or specialist contractor), it is your responsibility to arrange it.
8. Energy Performance Certificates
- EPCs are produced using the government-approved methodology for the property type and are lodged on the national EPC register, where they can be viewed by the public. An EPC is normally valid for 10 years.
- The rating reflects the property as found and evidenced at the time of the assessment. We cannot guarantee a particular rating.
- Improvement recommendations and any costs or savings shown are indicative.
9. Improvement works and project management
Where we quote for or manage improvement works, this will be under a separate written quote setting out the works, the contractors involved, the price and the payment terms. We recommend works expected to improve the rating, but the final rating depends on a new assessment of the completed works.
10. Reports and reliance
Our reports are prepared for the client named on the booking and for the purpose agreed. Other people may not rely on them without our written agreement. We keep the copyright in our reports, but you may share them with your tenants, agents, contractors, lenders and insurers.
11. Our liability
- We carry out our services with reasonable skill and care and in line with the requirements of our accreditation scheme.
- Our total liability to you for any one instruction is limited to [the fee paid for that instruction / £ amount].
- We are not liable for indirect or consequential losses, or for losses caused by information you gave us that was incorrect or incomplete.
- Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything that cannot legally be limited. If you are a consumer, your statutory rights are not affected.
12. Complaints
If you are unhappy with any part of our service, please contact us first on info@vertexsurveying.co.uk and we will aim to resolve the matter promptly. If you are not satisfied with our response, complaints about EPCs and energy assessments can be escalated to our accreditation scheme, Elmhurst Energy, under its complaints procedure.
13. General
We may update these terms from time to time. The version in force when you book applies to your booking. These terms are governed by the law of England and Wales.
